We are committed to protecting personal privacy and to providing a safe and secure service where we deal with your personal information. What personal information do we collect about you?

We may collect and process the following personal data:

  • Contact details such as name, title, addresses, telephone numbers, e-mail addresses and social media information.
  • If you contact us, a record or copy of that correspondence and of any contact details contained therein.
  • Information that you provide by filling in forms on the Website, such as via a Contact Us form, or when subscribing to our RSS feeds or other services, or to post comments on our blogs.
  • Information that you provide when completing an on-line job application, including in any document or material that you attach to the on-line form or that you email to us.
  • Information that you provide when you report a problem with using the Website.
  • If you complete a survey via the Website or that we email you, the information that you provide in your survey response.

We may also collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to analyse the use of the Website. These are statistical data about our users’ browsing actions and patterns, and do not identify any individual.

We do not seek any sensitive or confidential personal data through the Website, and we suggest that you do not provide any such information through the Website. If you provide such information through the Website, for example in a CV when uploading a job application, then we will consider that you have provided your consent to our using that information as here described or as described when you disclose the information.

How do we use your personal information?

We are permitted to process your personal data in compliance with Data Protection Legislation by relying on one or more of the following lawful grounds:

  • You have explicitly agreed to us processing such information for a specific reason.
  • The processing is necessary to perform the agreement we have with you or to take steps to enter into an agreement with you.
  • The processing is necessary for compliance with a legal obligation we have.
  • The processing is necessary for the purposes of a legitimate interest pursued by us. For example, we may rely on legitimate interest to process the contact details of potential clients for marketing purposes. Legitimate interest in this case means our research suggests that our services are relevant to your job role and/or that processing your contact details would be helpful in conducting and managing our business to enable us to give you the best service. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law).

How long do we keep your personal information for?

We keep your information to the extent reasonably necessary, and in any event in accordance with our own retention policy.

Who do we share your personal information with?

We may share your personal information with trusted third parties in relation to the provision of services that you have requested, including but not limited to graphic creation, translations, web support, freelance writing services and exhibition support. We may also share your personal information with third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business technology systems, research and mailing houses and function co-ordinators. These third parties comply with similar and equally stringent undertakings of privacy and confidentiality.

We share your personal information with our other Group companies for internal reasons, primarily for business and operational purposes. As we continue to develop our business, we may sell or purchase assets. If another entity acquires us or merges with us your personal information will be disclosed to such entity. Also, if any bankruptcy or reorganisation proceeding is brought by or against us, all such information will be considered an asset of ours and as such it is possible they will be sold or transferred to third parties.

What happens if you do not provide us with the information we request or ask that we stop processing your information?

Unless otherwise required by applicable law, we will stop processing your information. However, if you do not provide the personal information necessary, or withdraw your consent for the processing of your personal information, where this information is necessary for us to provide services to you, we may not be able to provide these services to you.

We do not carry out automated decision making.

Do we use cookies to collect personal data on you?

To provide better service to you on our websites, we use cookies to collect your personal data when you browse. A cookie is a piece of software that a Web server can send to the users’ PCs or other devices when they visit a website and use to identify the users should they visit the Website again, or if they visit another website which recognises that cookie. Do we transfer your personal information outside the EEA?

Where necessary – for instance when we need to provide you with a service that involves Publitek’s offices in North America – information about you in our possession may be transferred to other countries outside the European Economic Area for any of the purposes described in this Privacy Notice.

When we, or our permitted third parties, transfer information outside the European Economic Area, we or they will impose contractual obligations on the recipients of that data to protect such information to the standard required in the European Economic Area. We or they may require the recipient to subscribe to international frameworks intended to enable secure data sharing. What does this mean?

1.          The right to object to processing You have the right to object to certain types of processing, including processing for direct marketing (i.e. if you no longer want to be contacted with potential opportunities).
2.          The right to be informed You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is why we’re providing you with the information in this Policy.
3.          The right of access You have the right to obtain access to your information (if we’re processing it), and certain other information (similar to that provided in this Privacy Policy).

This is so you’re aware and can check that we’re using your information in accordance with data protection law.

4.          The right to rectification You are entitled to have your information corrected if it’s inaccurate or incomplete.
5.          The right to erasure This is also known as ‘the right to be forgotten’ and, in simple terms, enables you to request the deletion or removal of your information where there’s no compelling reason for us to keep using it. This is not a general right to erasure; there are exceptions.

When processing is restricted, we can still store your information, but may not use it further. We keep lists of people who have asked for further use of their information to be ‘blocked’ to make sure the restriction is respected in future.

For example, if you decide to switch to a new provider, this enables you to move, copy or transfer your information easily between our IT systems and theirs safely and securely, without affecting its usability.
8.          The right to lodge a complaint You have the right to lodge a complaint about the way we handle or process your personal information with your national data protection regulator.
9.          The right to withdraw consent If you have given your consent to anything we do with your personal information, you have the right to withdraw your consent at any time (although if you do so, it does not mean that anything we have done with your personal information with your consent up to that point is unlawful). This includes your right to withdraw consent to us using your personal information for marketing purposes.

We usually act on requests and provide information free of charge, but may charge a reasonable fee to cover our administrative costs of providing the information for:

  • baseless or excessive/repeated requests, or
  • further copies of the same information.

Alternatively, we may be entitled to refuse to act on the request.

Please consider your request responsibly before submitting it. We’ll respond as soon as we can. Generally, this will be within one month from when we receive your request but, if the request is going to take longer to deal with, we’ll come back to you and let you know.
